Hokkaido Chitose Car Rental — New Chitose Airport Handover Process

1. Let us know before you take off

Before your flight departs, please reach out to our customer service team and let us know:

  • Your flight number
  • Your estimated arrival time

If your flight, timing, or flight number changes at the last minute, please let us know as soon as possible so we can adjust the pickup and handover arrangements.

2. When you land at New Chitose Airport

Once you’ve landed, please go through:

Immigration → Baggage claim → Customs

After you’re through, connect to the airport’s free Wi-Fi and message our customer service team to let us know you’ve arrived safely.

3. Meeting us in the arrivals hall

Our staff will be waiting for you at the agreed time, holding a Hokkaido Chitose Car Rental sign at the designated meeting point.

4. Verifying your documents and driver details

Once you’ve met our staff, please have the following ready for us to check:

  • Original passport
  • Original valid driver’s license
  • A Japanese translation of your license, or a valid International Driving Permit

If there will be more than one driver, every driver must be registered and have their documents verified before the vehicle is handed over.

5. Signing the rental agreement and payment

Our staff will confirm the details with you once more:

Rental period | Drop-off location | Insurance plan | Add-ons

Once everything checks out, we’ll complete the rental contract and process payment (this also covers any one-way rental, drop-off, or additional services you’ve added).

6. Heading to the handover location

Once your documents, contract, and payment are all sorted, our staff will guide you to the designated vehicle handover spot.

7. Checking the car and a quick walkthrough

Before handing over the keys, we’ll go through the vehicle together:

Exterior condition | Any existing scratches or marks | Fuel level | Tires | ETC | Dashcam | CarPlay | Rental accessories (plus winter gear if it’s snow season)

Our staff will also give you a quick rundown on the basics — how to operate the vehicle, use the ETC, connect CarPlay, refuel, and drive safely in Hokkaido. (If you’re already familiar with all this, just let our staff know and we’ll keep it brief.)

We recommend taking a few photos together with our staff before you set off, just to have a record of the car’s condition.

8. Ready to go!

Once everything’s confirmed, the car is officially yours for the trip. You’ll find usage and safety information inside the vehicle. If anything comes up along the way — operating questions, an accident, a breakdown, or anything else — just reach out to us via our official LINE customer service.

Hokkaido Chitose Car Rental — Hokkaido Regional Handover Process

1. Confirming the time and place beforehand

The day before your handover, please reconfirm with us through our official contact channels:

  • Handover date and time
  • Handover location
  • How to reach you

If your accommodation, itinerary, or handover time changes, please let us know as early as possible so our team can rearrange accordingly.

2. Choosing the handover location

For everyone’s safety, the handover has to take place somewhere that’s a legal parking spot, safe, and doesn’t block traffic.

Unfortunately, we’re not able to hand over vehicles in no-parking zones, spots that obstruct traffic, or other unsuitable locations. If a paid parking lot is used, we’ll cover the parking fee.

3. Meeting our staff at the location

Please arrive at the agreed spot at the scheduled time. Once our staff arrives, they’ll reach out to you through our official contact channel to connect.

4. Verifying your documents and driver details

Once you’ve met, please have ready:

  • Original passport
  • Original valid driver’s license
  • A Japanese translation of your license, or a valid International Driving Permit

If there’s more than one driver, all drivers need to be registered and verified before the handover.

5. Signing the rental agreement and payment

Our staff will go over the details with you again:

Rental period | Drop-off location | Insurance plan | Add-ons

Once confirmed, we’ll complete the contract and payment, along with any additional services you’ve booked.

6. Checking the car and a quick walkthrough

Before handover, we’ll check the vehicle together:

Exterior condition | Any existing scratches or marks | Fuel level | Tires | ETC | Dashcam | CarPlay | Rental accessories | Winter gear

Our staff will walk you through the basics — vehicle operation, ETC, CarPlay, refueling, and tips for driving in Hokkaido. (If you’re already familiar with this, just let them know.) We recommend checking the car’s condition together and snapping a few photos before you head off.

7. Ready to go!

Once everything’s confirmed, the vehicle is handed over and you’re ready to start your trip. You’ll find usage and safety information inside the car.
